Office Assistant

The Office Assistant provides administrative support to the Senior Manager and Program Coordinator. The role provides assistance as needed to the Operations and Human Resource Coordinator in addition to working collaboratively with other area Coordinators. 

This position requires a commitment of 28 hours per week of work, including a few hours of weekly communal cleanup shifts.  During the first 10 weeks of your time here, we also ask for 7 hours per week of participation in community activities and meetings, as well as classes on yoga theory and practice.  This helps new staff to connect to the aims of the Centre and the community in a deeper way. (Some of this may not be necessary for those who’ve already spent time at the Centre).  Please see below for further details about the job.

Responsibilities & Qualifications

  • Manage reception (answering phones, greeting visitors and conducting centre tours).
  • Accounts payable and receivable
    • Collaborate with Senior Manager in processing all purchases, payments and reimbursements.
    • Assist with bank deposits, petty cash, recording donations, credit card and paypal reconciliation.
  • Program and event assistance
    • Collaborate with Programs Coordinator by providing assistance in invoicing guests and registration of events, assist with surveys on Survey Monkey, maintain SSCY database.  Assist with greeting and orienting guests during events.
    • Collaborate with Operations and HR Coordinator by providing assistance in the hiring process for the Residential Karma Yoga Program.  Also assist as required by the Operations Coordinator in managing events and programs at the centre.
  • Marketing & Social media
    • Assist with social media and marketing campaigns (designing posters, email campaigns, working with graphic designers and printers)
    • Maintain teacher portal on website and monitor other website content updates
  • Manage database & Society memberships
    • In consultation with Senior Manager, update Mailchimp & our Society membership databases, process payments, advise Senior Manager of new Society members for approval by the Board.
  • General duties
    • Order and maintain office supplies and equipment
    • Assist in managing inventory and sales for our small merchandising store - Jai Store
    • Assist Senior Manager in fundraising campaigns and new business initiatives
    • Pick up and distribute centre mail
    • Maintain effective and efficient filing system

Yoga and Community

As an added bonus, when you arrive, you’ll take part in the offerings provided in our Residential Karma Yoga Program for the first 10 weeks of your time here. You’ll learn and practice alongside other folks who come to work in our kitchen, maintenance, farm, office, and housekeeping teams. This allows new residents to gain a thorough introduction to the teachings and practices of yoga that inspire SSCY. Participants in the program normally pay $1,155 for the 10-week period, but we include it as part of the coordinator’s compensation. The ten-week program includes:
  • Two 75-minute classes per week on yoga philosophy, practice, and community life.
  • Two 60-minute classes per week on traditional yogic breathing and meditation.
  • One 90-minute community circle per week for group discussions on matters relevant to community life.
  • Access to ongoing yoga classes and other special events at SSCY.
