Office Coordinator

The Office Coordinator provides administrative support to the Centre Manager and Programs Coordinator. The role provides assistance as needed to the other area Coordinators.

The position requires a commitment of 28 hours per week of work in the office. All residents at the Centre are also asked to contribute up to 4 hours per week of volunteer communal chores and cleanup shifts. Those new to the Centre also participate in the 4-8 hours per week of classes on yoga theory and practice for a 10-week period during our Residential Karma Yoga Program. This helps new staff understand and connect to the aims of the Centre and the community in a deeper way. Please see below for further details about the job.

Responsibilities & Qualifications

Responsibilities

  • Manage reception (answering phones, greeting visitors and conducting centre tours).
  • Assist with accounts payable and receivable with the bookkeeper and Centre Manager
    • Processing all purchases, payments and reimbursements.
    • Assist with bank deposits, petty cash, recording donations, credit card and paypal reconciliation.
  • Program and event registration and assistance with the Programs Coordinator
    • Managing our internal database
    • Perform guest reservations and invoicing
    • Managing internal calendars and booking event spaces.
    • Assist with greeting and orienting guests during events.
    • Assist with surveys on Survey Monkey
  • Marketing & Social media with Programs Coordinator
    • Assist with social media and marketing campaigns (email campaigns, working with graphic designers and printers)
    • Maintain teacher portal on website and monitor other website content updates
  • Manage database & Society memberships with Centre Manager
    • Update Mailchimp & our Society membership databases, process payments, advise Centre Manager of new Society members for approval by the Board.
  • General duties
    • Order and maintain office supplies and equipment
    • Assist in managing inventory and sales for our small merchandising store (“Jai Store”)
    • Assist Centre Manager in fundraising campaigns and new business initiatives
    • Pick up and distribute centre mail
    • Maintain effective and efficient filing system
  • Attend weekly community circles and staff meetings

Qualifications:

  • At least 2-5 years’ experience in administration and/or in the efficient operation of a small office.
  • Excellent verbal and written communication skills, as well as exceptional problem-solving, organizational, and time management skills.
  • Diverse and extensive computer skills, including a high level knowledge of Microsoft Office and Windows, and familiarity with QuickBooks.
  • It is essential for the candidate to be proactive and a clear communicator.
  • Ability to collaborate with other area coordinators and the Centre’s management.
  • Interest in community life, spiritual practice, and self-development.
  • Legally able to work in Canada.

Working Conditions

Yoga and Community

You’ll also take part in the offerings provided in our Residential Karma Yoga Program, April 14 – June 21, 2020 where you’ll learn and practice alongside other folks who come to work in our kitchen, maintenance, farm, office, and housekeeping teams. This allows new residents to gain a thorough introduction to the teachings and practices of yoga that inspire SSCY. The ten-week program includes:
  • Two 75-minute classes per week on yoga philosophy, practice, and community life.
  • Daily 60-minute morning prāṇāyāma and meditation classes for the first 3 weeks, with two 60-minute morning classes weekly thereafter.
