Programs Coordinator

The Programs Coordinator books and coordinates the rentals, programs, and yoga classes that are the lifeblood of our operation. Broadly speaking, the position involves engaging new teachers and presenters, securing contracts, and liaising with other coordinators at the Centre to ensure that agreements with our clients and guests are fulfilled. The Programs Coordinator also guides our ongoing marketing on social media and elsewhere, and serves as the primary point of contact for public inquiry. The role reports to the Senior Manager but works in concert with the Operations, Housekeeping, Maintenance Coordinators and other staff involved in programs and events to ensure events run smoothly. This position receives some assistance from an office volunteer for clerical and administrative tasks. People with an ability to communicate clearly, a keen eye for detail, and a friendly and caring personality will do best in the role.

The position requires a commitment of 28 hours per week of work, including a few hours of weekly communal cleanup shifts. During the first 10 weeks of your time here, we also ask for 7 hours per week of participation in community activities and meetings, as well as classes on yoga theory and practice. This helps new staff to connect to the aims of the Centre and the community in a deeper way. Responsibilities & Qualifications

  • Arrange and coordinate rentals and events for off-land guests. This includes:
    • Engage potential renters and provide a point of initial contact for client inquiries about our facilities.
    • Draft and secure contracts with groups who wish to rent our facilities, and creating invoices for services rendered.
    • Manage our database of reservations and guest information, this includes arranging guest registration and housing, and booking event spaces in our internal calendars.
    • Provide information to other departments regarding event needs, such as room assignments and facility needs to our housekeepers, and dietary and menu requests to our kitchen.
    • Work with other coordinators involved in guest services to welcome and orient guests upon their arrival, and to respond to their needs while they are here.
  • Maintain and manage publicly offered yoga classes. This includes:
    • Liaise with our housekeeping department to ensure yoga spaces are maintained, properly equipped, and ready for classes.
    • Oversee clerical duties related to yoga classes, including monitoring class attendance and registration on our website, collecting waivers, and making payments to teachers.
    • Maintain our online, public class calendar.
    • Build and fostering working relationships with yoga teachers, including maintaining contracts, processing monthly payments/donations, updating bios on our website, and organizing periodic teachers’ dinners.
  • Oversee General Marketing and Communications. This includes:
    • Manage reception, including answering phones, greeting visitors, and conducting centre tours.
    • Manage the Centre’s Jai Store, our little pop-up retail shop that sells yoga-related goods during some of our programs.
    • Plann and oversee marketing and outreach campaigns via social media, email (MailChimp), and print, including liaising with graphic and web designers as needed.
    • Undertake community outreach on the island and beyond, including sponsorship and participation in events, festivals and conferences.
  • Work collaboratively with the Senior Manager, Operations, Maintenance, Kitchen, and Housekeeping Coordinators to consult on event planning and long-term strategy.
  • At least 2-3 years of prior experience in an office environment.
  • Interest in community life, spiritual practice, and self-development.
  • Strong organizational skills, including the ability to plan and execute detailed service contracts with rental clients.
  • Clear communication skills, including the ability to distribute information and delegate tasks to multiple departments.
  • A friendly and engaging personality, preferably with previous experience in a hospitality, customer-service, or public-facing role.
  • General computer and online savvy. A solid working knowledge of Microsoft Word and Excel, plus major social media platforms (e.g. Facebook, Instagram, Twitter) is a must. Experience with Quickbooks, Google Apps, MailChimp, Wordpress, and/or basic registration databases would be a definite asset.
  • Legally able to work in Canada.

Working Conditions

We’re definitely not your average workplace. Most of the people who’ve lived and worked here count it among the most unique and transformative experiences of their lives. Yoga and Community

As an added bonus, when you arrive, you’ll take part in the offerings provided in our Residential Karma Yoga Program for the first 10 weeks of your time here. You’ll learn and practice alongside other folks who come to work in our kitchen, maintenance, farm, office, and housekeeping teams. This allows new residents to gain a thorough introduction to the teachings and practices of yoga that inspire SSCY. Participants in the program normally pay $1,155 for the 10-week period, but we include it as part of the coordinator’s compensation. The ten-week program includes:
  • Two 75-minute classes per week on yoga philosophy, practice, and community life.
  • Two 60-minute classes per week on traditional yogic breathing and meditation.
  • One 90-minute community circle per week for group discussions on matters relevant to community life.
  • Access to ongoing yoga classes and other special events at SSCY.
